This Privacy Policy explains how B2B Invoice Details Collector processes data for Shopify merchants and their customers.

1. App Overview

B2B Invoice Details Collector is a Shopify app that helps merchants collect B2B invoice details after checkout. The app can show a native Shopify Checkout UI Extension form on the Thank you and Order status pages and can provide an order confirmation email link through Shopify App Proxy.

The app does not send statutory e-invoices, Peppol invoices, tax authority invoices or accounting-system invoices. It collects invoice details and saves them to Shopify orders and to the app database for merchant use.

2. Data We Process

Merchant and store data

When a merchant installs or uses the app, we process data needed to operate the app, including the Shopify shop domain, installation status, selected plan information, app settings, country and market profiles, payment method names, field configuration, customer-facing text settings, branding settings and payment customization settings.

The app stores the Shopify Admin API access token required to provide the service. Access tokens are encrypted before storage.

Customer and order data

For eligible orders, the app may process order identifiers, order number, confirmation number, customer email address, customer locale, shipping and billing country, company name, payment method labels and invoice details entered by the customer.

Invoice detail fields can include company name, business registration number, VAT or tax identifiers, e-invoice address, operator ID, Peppol ID, invoice email, buyer reference or other country-specific invoice fields configured by the merchant.

Technical data

The app may process technical request data such as timestamps, request status, Shopify webhook identifiers, security verification results and limited error logs. Logs are used for troubleshooting and are designed to avoid unnecessary personal data.

3. How Data Is Used

We use data only to provide and maintain the app, including:

  • showing the invoice details form only for configured invoice payment methods;
  • validating that a customer is allowed to update invoice details for an order;
  • saving invoice details to Shopify order notes, order metafields, order tags and the app database;
  • syncing Shopify payment customization settings;
  • supporting multi-market and multi-language settings;
  • handling app installation, permission updates, uninstallation and Shopify compliance webhooks;
  • providing support, debugging and security monitoring.

4. Where Data Is Stored

Invoice details submitted through the app are saved to the merchant's Shopify order as order notes, order metafields and order tags. The app also stores a copy in its own database so the merchant can audit submissions and the app can support later updates.

Merchant settings are stored in the app database while the app is installed or while they are needed to provide the service.

5. Sharing and Third Parties

We do not sell personal data. We do not use customer invoice details for advertising or unrelated analytics.

The app shares data with Shopify only as required to operate inside the merchant's Shopify store. Data may also be processed by hosting, database and infrastructure providers that support the app. These providers are used only to host, secure and operate the service.

The app does not send invoice details to e-invoicing providers, accounting systems or tax authorities unless a future merchant-enabled integration is added and disclosed.

6. Legal Roles

For customer order and invoice details, the Shopify merchant is generally the controller of the data. B2B Invoice Details Collector acts as a service provider or processor that processes data on behalf of the merchant to provide the app.

Merchants are responsible for informing their customers how they use invoice details in their own privacy notices and accounting processes.

7. Retention and Deletion

Shop settings and app data are kept while the app is installed and as long as needed to provide the service, troubleshoot issues, comply with legal obligations and maintain security.

When Shopify sends an app uninstall or shop redaction webhook, the app marks the shop as uninstalled and removes or deactivates locally stored shop access data as required. Customer data deletion and access requests are handled through Shopify's mandatory compliance webhooks when applicable.

Merchants can request deletion of app-stored data by contacting support.

8. Security

The app validates Shopify requests and webhooks using Shopify security mechanisms. Admin API access tokens are encrypted before storage. The app avoids exposing secret tokens in customer-facing JavaScript and uses HTTPS endpoints for app communication.

No internet service is completely risk-free, but we use reasonable technical and organizational measures to protect the data processed by the app.

9. Customer Rights

Customers should contact the Shopify merchant they purchased from to request access, correction or deletion of order or invoice details. Merchants can contact us if they need help fulfilling a request involving app-stored data.

Shopify may also send privacy compliance webhooks to the app for customer data requests, customer redaction requests and shop redaction requests.

10. Changes

We may update this Privacy Policy when the app, legal requirements or data practices change. The updated version will be posted on this page with a new last updated date.
